Office Manager – Dublin

Description

Interacting with all staff across the business, this is a key role in order to ensure the smooth running of the office through a range of administrative and financial tasks.

Responsibilities

Receptionist

  • Manage incoming calls, general emails, greeting visitors, organising the distribution of post/deliveries and arranging couriers as required

Operations & Office Administration

  • Mange day-to-day office administration, upkeep & office supplies mgt
  • Manage facilities & contractor
  • Arrange catering & IT requirements for internal meetings/company events
  • Arrange travel, meeting rooms, catering, IT etc. for key off-site meetings & conferences

SMT/Board Support

  • Support SMT with travel planning/booking/logistics/board meeting facilitation & comms and general admin (incl. presentations)

IT/Telecoms Support

  • Act as first line of IT & telecoms support, ordering IT equipment & licences as required and setting up new employee laptops
  • Engage with 3rd party IT Supplier as required

Finance Administration & Business Support

  • Prepare CEO/SMT expenses report
  • Credit card reconciliation and record keeping
  • Support finance in accounts payable process as required  
  • Manage relationship with FIRE1 travel agent to ensure ongoing quality of service and value for money  
  • Support HR with new starter induction
  • Support comms to wider company and to/from third parties
  • Support company document filing in a timely manner

General

  • Engage with the QMS team to ensure delivery of the overall quality strategy and support the achievement of the business quality objectives.
  • Perform any ad hoc duties as outlined by management
